1. About African DMC
African DMC (africandmc.com) is the B2B destination management division of Inspirations Africa, providing ground handling, hotel contracting, safari packages, airport transfers, event management, and VIP services across multiple African countries.
2. B2B Terms & Trade Partner Conditions
These terms apply to trade partners, travel agents, tour operators, and corporate clients booking through African DMC. Individual travellers booking directly are subject to our standard consumer terms.
- Trade partner accounts are available on application and subject to approval.
- Net rates are confidential and may not be disclosed to end clients or third parties.
- Commission structures and mark-up permissions are defined in your individual trade partner agreement.
- Rate validity periods are specified on each quotation. Rates are not guaranteed until a booking is confirmed with deposit.
3. Service Level Agreement
African DMC commits to the following service standards for confirmed bookings:
- Quotation response time: Within 24 hours of receiving a complete enquiry (business days).
- Booking confirmation: Within 48 hours of receiving deposit payment.
- Emergency contact: 24/7 emergency support line available for all confirmed bookings.
- Ground operations: All transfers include a minimum 15-minute buffer for flight delays. Delays exceeding 2 hours may incur additional charges.
- Quality assurance: All accommodation and activity providers are personally inspected at least annually.
4. Bulk Booking & Group Rates
- Groups of 10 or more passengers qualify for group rates, subject to availability.
- Group bookings require a rooming list at least 30 days before arrival.
- Name changes are permitted up to 14 days before arrival at no additional charge.
- Group cancellation terms may differ from individual bookings and will be specified in the group contract.
Booking Process & Confirmation
- Submitting a booking enquiry does not guarantee availability and does not constitute a binding contract.
- A booking is confirmed only when the operator issues written confirmation and the required deposit has been received.
- All prices are quoted in United States Dollars (USD) per person unless otherwise stated and are subject to change until a booking is confirmed.
- Prices may vary based on season, group size, accommodation type, and availability.
- We reserve the right to correct pricing errors before a booking is confirmed.
Payment Terms
- A 30% non-refundable deposit is required to confirm your booking.
- The remaining 70% balance is due no later than 60 days before the travel departure date.
- Bookings made within 60 days of departure require full payment at the time of booking.
- Payments are processed securely via PesaPal and DPO Group payment gateways. We do not store your credit card details.
- Park fees, government levies, and conservation fees are subject to change without notice by the relevant authorities and will be passed on at cost if they change after your booking is confirmed.
- Failure to make payment by the due date may result in automatic cancellation of your booking.
Trade Payment Terms
- Approved trade partners may be eligible for credit terms (typically Net 30 days after guest departure).
- Credit terms are subject to a credit application process and are revocable at our discretion.
- Late payments incur interest at 2% per month on the outstanding balance.
- We reserve the right to suspend services and future bookings in the event of overdue payments.
Cancellation Policy
All cancellation requests must be submitted in writing via email. The following cancellation fees apply based on the notice period before the scheduled departure date:
- 60 or more days before departure: 25% cancellation fee (deposit forfeited).
- 30 to 59 days before departure: 50% of the total booking cost.
- Less than 30 days before departure: 100% of the total booking cost (no refund).
Certain elements of your booking, including but not limited to national park permits, gorilla trekking permits, internal flights, and special activity permits, may be non-refundable once issued by the relevant authority, regardless of the cancellation timing.
If we or the operator must cancel a booking due to circumstances within our control, you will be offered a full refund or the option to reschedule at no additional cost.
Travel Insurance
Comprehensive travel insurance is strongly recommended and in many cases mandatory for all bookings. Your policy should cover, at a minimum:
- Medical expenses and hospitalisation
- Emergency medical evacuation, including air ambulance from remote areas
- Trip cancellation and interruption
- Personal liability
- Loss or damage to personal belongings and luggage
We may request proof of adequate travel insurance before your departure. Inspirations Africa is not liable for any costs arising from inadequate or absent insurance coverage.
Operator & Supplier Liability
African DMC contracts with third-party suppliers (hotels, transport companies, activity providers) to deliver services. While we exercise due diligence in selecting suppliers:
- We are not liable for the actions, omissions, or negligence of third-party suppliers.
- In the event of supplier failure, we will make every reasonable effort to arrange suitable alternatives.
- Our liability is limited to the total amount paid for the affected service component.
- Force majeure events release us from liability for non-performance.
Privacy & Data Protection
We collect and process personal data in accordance with our Privacy Policy. By making a booking, you consent to the collection and processing of your personal information as necessary to fulfil the booking and provide our services. Your data may be shared with the relevant tour operator and payment provider to complete your booking.

Governing Law
These Terms and Conditions are governed by and construed in accordance with the laws of the United Republic of Tanzania. Any disputes arising from or in connection with these terms shall be resolved through arbitration in Arusha, Tanzania, in accordance with the Arbitration Act of Tanzania. The language of arbitration shall be English.
Amendments
We reserve the right to update or modify these Terms and Conditions at any time. Changes will be effective upon publication on this website. It is your responsibility to review these terms periodically. Continued use of our services constitutes acceptance of any updated terms.
